Coffee Shop & Café
Financing

Explore funding for an espresso machine, a café refit or working capital. Find out how business loans and sales-linked repayments differ.

Coffee Shop and Café Business Finance Made Simple

A reliable machine, a well-designed counter and enough cash for the next delivery can matter more than extra floor space. Coffee shop finance can support a specific purchase or improvement, but the repayment needs to fit the café’s trading pattern.

Separate one-off investment from regular overheads. If you are replacing equipment, compare the expected service life with the funding term. If the need is working capital, explain when sales will replenish the money and leave room for quieter weekdays or seasonal closures.

PDQ Funding helps existing coffee shops and cafés explore business loans and merchant cash advances. Available products and amounts depend on the provider’s assessment.

What do you need to fund?

Premises & expansion

Cost a counter redesign, extra seating or a second café. Include the deposit, fit-out, opening stock and the income lost while work takes place.

Equipment & stock

Budget for espresso machines, grinders, water filtration, refrigeration and dishwashers. Include installation, staff familiarisation and servicing in the supplier quotation.

People & running costs

Cover a defined gap in wages, rent, utilities or supplier payments. Check that adding finance repayments leaves enough cash for the following trading period.

Marketing & refurbishment

Refresh signage, improve the ordering area or introduce an online ordering system. Set a measurable purpose and a budget before committing to spending.

Business loan or merchant cash advance?

Merchant cash advance

A merchant cash advance provides upfront funding with collections linked to qualifying card sales. On a percentage-of-sales arrangement, more is collected on busy days and less when those card takings fall.

The provider needs to understand your payment setup and trading record. Confirm whether online orders qualify and whether you would need to change processor. The collection percentage is separate from the funding fee.

Check the collection terms

Ask about the total payable, any minimum payment requirements and what happens during a closure or change in ownership. Sales-linked collections still reduce the money available for stock and staff.

Business loan

A coffee shop business loan provides a lump sum repaid over an agreed term, with interest and any charges. A clear payment schedule can support budgeting for a refit or expansion.

Compare the interest basis, fees, repayment frequency and early settlement terms. For an individual machine, consider whether a separate equipment finance quotation offers a better fit, taking the deposit, ownership and maintenance into account.

Check guarantees and security

A loan described as unsecured may still require a personal guarantee. Understand your potential personal liability if the café cannot pay and consider independent advice before signing.

Build a budget using your café’s figures

Use recent sales and costs rather than a target number of cups. List the project cost, your available contribution and a contingency, then identify the remaining gap.

For an expansion, forecast the new site separately from the existing café. Allow for recruitment, training and the time needed to build repeat trade. For working capital, review cash remaining after ingredients, wages, rent and finance payments.

Request written terms showing the net amount received and the total repayable. Test affordability during a quiet month as well as your busiest one; increasing sales does not automatically improve profit.

Eligibility and documents for café finance

Providers assess trading history, turnover, payment records, existing borrowing and affordability. Business structure and credit history can also affect the products available. There is no single minimum sales figure or trading period that applies to every provider.

Have business bank statements, recent accounts, card statements and details of existing commitments ready. For equipment or a refit, include supplier quotations. Ask what credit searches will be carried out before progressing.

Opening a new café requires a different assessment from funding an established business.

Coffee shop finance questions

A café without a trading record will not meet an established-business cash advance assessment. Start-up routes have separate criteria. The government-backed Start Up Loans programme is one option to explore directly; it is a personal loan for business purposes, subject to eligibility and credit checks.

Equipment can be an eligible funding purpose, depending on the agreement. Obtain the full supplier price, including installation and servicing, and compare a business loan with buying outright or a suitable equipment finance quotation.

Qualifying card takings are relevant to a merchant cash advance. A business loan may be assessed differently. Explain the split between terminal sales, online payments and other receipts when you enquire.

The timing depends on the provider, product and information supplied. A complete application can reduce avoidable delays, but a same-day decision or payment by a particular date is not guaranteed.
