Pharmacy Business Finance Made Simple

Pharmacy finance needs to distinguish dispensing-related income from over-the-counter retail sales and other services. Those receipts can arrive through different routes, while wholesaler bills, wages and premises costs continue to fall due.

Start with the reason for the funding: stock, equipment, a refit and buying a pharmacy are different propositions. A working-capital request should explain the timing gap, rather than rely only on annual turnover or the value of prescriptions handled.

PDQ Funding helps UK businesses explore business loans and merchant cash advances. The available route depends on the business, its payment channels and the provider’s assessment.

For buying goods ahead of sales, compare inventory and stock finance with working capital loans and match repayments to the expected receipt dates.

What could the funding cover?

  • A documented stock requirement with wholesaler payment terms.
  • Dispensing or storage equipment and installation costs.
  • Consultation-area improvements and pharmacy systems.
  • A defined gap between operating payments and expected receipts.

Budget equipment projects after checking space, integration, training, servicing and continuity of dispensing. For stock, review current holdings and supplier commitments before adding a new facility. This page does not replace professional advice on pharmacy operating requirements.

Compare the funding structure

Pharmacy business loans

A business loan may support a defined investment or cash-flow requirement. Asset finance can be compared for suitable equipment. Pharmacy acquisitions, ownership changes and premises purchases need a separate assessment of the transaction and proposed structure.

A loan provides an agreed sum repaid over a set term, with interest and fees. Ask for the payment schedule and full cost before deciding whether it fits the business.

Funding linked to qualifying card sales

Qualifying over-the-counter or other customer card receipts may be relevant to an advance. Dispensing-related settlements and bank transfers are not automatically card sales. Show those income sources separately so the funding assessment matches the business.

A merchant cash advance provides upfront funds, collected through an agreed percentage of qualifying card receipts. Collections can vary with those receipts. Check any minimum payment, reconciliation or other contractual requirements.

Match repayments to receipts and wholesaler bills

Prepare a forecast after wholesaler payments, payroll, rent and existing finance. Allow for changes in payment timing and slower retail sales. An investment should not leave the pharmacy unable to meet the costs of ordinary trading.

Compare net funds received, fees and total repayable across quotations. For an advance, the collection percentage is different from the funding fee: a smaller percentage taken from sales does not necessarily mean cheaper funding.

Review security, personal guarantees and early settlement terms. Unsecured funding can still involve a personal guarantee, creating personal liability if the business cannot pay. Consider independent advice before accepting an agreement.

Eligibility and information to prepare

Have recent accounts, bank statements, wholesaler commitments and a breakdown of income sources ready. Add merchant statements where card-sales funding is relevant, equipment quotations and details of the project or ownership change.

Providers may assess trading history, financial records, credit information, existing commitments and affordability. Requirements vary; an enquiry does not guarantee an offer, amount or completion date. Tell us about other applications or finance already in place so the overall commitment can be considered.

Pharmacy finance questions

Not automatically. A conventional card-sales advance uses qualifying card payments. Explain other settlement and bank-transfer receipts separately.

Suitable equipment may be considered, subject to assessment. Include installation, software, servicing and training in the project budget.

An acquisition requires a different assessment from a stock or cash-flow enquiry. Explain the proposed purchase and obtain appropriate transaction advice.
